How to Book
Mail, email or fax your completed reservation form along with your deposit of $ 500 U.S.
currency to Idlewild Adventures. Payment may be made using Pay Pal, or Bank draft
check made payable to Idlewild Adventures. You can also call us to tentatively reserve
your space. The deposit is part of your final payment. Final payment is due 70 days prior
to departure. If your reservation is requested within 70 days of departure, the entire price
of the trip must be paid at the time of booking. If final payment is not received when due,
we reserve the right to cancel your booking. All prices quoted are in U.S. funds. Please
make checks payable to Idlewild Adventures. If you pay by credit card, you may be
charged in U.S. Dollars at the current foreign exchange rate depending on location of your
tour.
Included in Quoted Trip Prices (unless stated otherwise in the itinerary)
Accommodation as indicated in each itinerary based on double occupancy.
Meals as indicated in each itinerary.
Hotel taxes included.
Sightseeing, game viewing, entrance fees to National Parks, game reserves, museums as
indicated in each itinerary, including any transportation by plane, helicopter, train, boat,
elephant, etc;
Services of English speaking guides.
Not Included in Quoted Trip Prices
Not Included in Quoted Trip Prices: Airfare to and from the tour location (your
international flight itinerary must be supplied to Idlewild Adventures as soon as it is
available. Arrival and departure dates will be provided and must be adhered to in order to
meet all scheduled and reserved tours, transportation and accommodations). Additionally
any internal airfare for certain trips; personal travel and medical insurance; emergency
evacuation; cost of obtaining passports, visas and immunization; arrival and departure
airport and government taxes; sightseeing, game viewing or meals not included in the
itinerary or listed as optional; items of personal nature; gratuities, etc.
Trip Cancellation Policy
If you wish to cancel a trip, you must notify us in writing immediately. For all trips, except
for Arctic and Antarctica expeditions cruises, the following cancellation penalties will apply:
Cancellation 70 days or more prior to departure date, initial deposit will be charged as a
processing fee.
Cancellation 45 to 69 days 50% of total tour price will be charged or we will afford you the
chance to change the dates to another planned trip with Idlewild Adventures at a later
date. However your initial deposit will be charged for processing fees.
Cancellation within 45 days 100% of tour price is not refundable because all hotel,
transportation and other fees are already liable.
In the event that Idlewild Adventures has to cancel a trip for any reason, another tour will
be offered. If the alternative tour is not accepted, we will refund all the monies paid by you
to us minus 2.9% if you paid with a credit card using Pay Pal. However, you will not be
entitled to make any further claim for any injury, loss, expenses or damages or for any loss
of time or inconvenience, which may result from such cancellation. Idlewild Adventures
cannot assume responsibility or any additional costs or fees relating to the issuance
and/or cancellation of air tickets or other travel arrangements. Refunds will not be made
for any missed trip tours, transportation, accommodations or services.
Advertised Prices
Prices in all brochures, electronic or otherwise, are based on the current rates of
exchange and tariffs as of January 2009 and valid for the period January 2009 -
December 2009. In the event of a significant change in foreign exchange rates and/or
tariff rates, we reserve the right to increase the quoted price up to the day of departure up
to 7% of the total cost of the trip. In the event of a price increase greater than 7%, the
traveler shall be notified and has the option of a full refund. If, after departure, additional
expenses are incurred through delay, accident or disruption of advertised schedules
beyond our control, such expense must be borne by the traveler.
Itinerary Changes
Idlewild Adventures reserves the right to change the date of departure or the conclusion of
the trip for any reason, or to make changes to the itinerary whenever we deem it
necessary for the comfort, convenience or safety of the trip participants, and to cancel a
trip at any time. Should we have to curtail a trip after the time of departure, we will not be
liable for any form of refund whatsoever, although everything will be done to complete the
trip or to utilize alternative arrangements.
Customized Itineraries
Any Idlewild Adventures trip or program that is not listed on this website is subject to all
terms and conditions as listed on this page.
Standards Abroad
Please note that there may be different living standards and conditions with respect to the
provision of utilities, services and accommodation outside of North America.
Health Considerations
To enjoy a trip to the fullest possible extent, you should be in good physical and mental
condition. On advancement of a deposit, you certify that you do not have any physical
condition or disability that would create a hazard to yourself or the other travelers. It is the
sole responsibility of the traveler to check if any vaccination or other medical precautions
are required. We reserve the right to decline accepting or retaining any traveler whose
health or actions may impede the operation of a trip or the welfare or enjoyment of fellow
trip members.
Insurance
We strongly recommend that you obtain comprehensive travel insurance, including trip
cancellation insurance, and medical insurance, including air evacuation insurance. On
some trips, evacuation insurance is mandatory.
Passports and Other Documents
It is the sole responsibility of the traveler to be in possession of a valid passport, visas,
permits and certificates as may be required for the trip. Your passport must be valid for at
least six months after you return back home. Entry to another country may be refused
even if your travel documents are complete.
Photos and Images
On each tour, Idlewild Adventures or our representatives may take photographs or make
file records for promotional use.
Airline Responsibility
Brochures and web site information is/are not issued on behalf of and do not commit any
airline whose services are used in the course of our trips. They are for general
information only.
Responsibility, Assumption of Risk and Release of Liability
Idlewild Enterprises, LLC, (DBA, Idlewild Adventures) acts solely as agent between the
travelers and local tour operators and suppliers for providing services described in the
itineraries. Idlewild Adventures will not assume responsibility for any claims, damages or
expenses arising from (1) the act, omission, or negligence of any travel service supplier,
whose product or service the travelers purchase, (2) any other event.
The travelers acknowledge that travel to foreign countries and remote areas may involve
numerous risks and dangers. The travelers agree to be responsible for their own welfare,
and accept any and all risks, including, but not limited to, risks of delay, unanticipated
events, illness, injury, legal infractions, emotional trauma, or death. The travelers release
and discharge Idlewild Enterprises, LLC, (DBA Idlewild Adventures.), its owners, directors,
officers, agents, and employees from and against any and all liability arising from travelers'
participation in the trips. This release of liability will be legally binding upon the travelers,
all minors traveling with them, travelers' heirs, family members, successors, assigns, and
legal representatives. The Responsibility, Assumption of Risk and Release of Liability
clause will also apply to travelers' trips and trip extensions that travelers may enroll for or
switch to at a later date.
By paying a deposit, signing the reservation form, and enrolling on a trip the traveler
agrees to be bound by the Terms and Conditions set forth above.
